How I Built an All-in-One Club Management App for Volleyball

VolleyCenter started with a simple frustration: volleyball clubs are complex operations being run on a patchwork of apps, spreadsheets, and group chats. I built one platform to replace all of it — with AI built in.

The Problem Nobody Talks About

Run a volleyball club for more than five minutes and you'll see it: a Google Sheet for rosters, GroupMe for parent communication, a paper sign-in sheet at practice, Venmo for payment collection, a whiteboard for the schedule, and a coach's notes app for practice plans. None of it talks to each other. Nothing is in one place. And when something falls through the cracks — a parent who didn't get the tournament time, a player whose dues aren't tracked, a coach who can't find last week's practice plan — it lands on the director.

I've lived in the volleyball world as a coach and club director. I know the problem from the inside. When I started Ramapp Solutions, it was one of the first things I wanted to fix.

The Core Insight

The problem wasn't that clubs lacked tools. The problem was that they had too many disconnected ones. The solution wasn't another app — it was one platform that replaced them all.

What VolleyCenter Actually Does

VolleyCenter is a role-based club management platform. When you log in, you see a completely different experience depending on who you are: admin, coach, player, or parent. Every role gets exactly what they need — and nothing they don't.

For Admins

The admin dashboard is the command center. From here, club directors manage everything: team rosters, court reservations, registration events (tryouts, clinics, tournaments), invoicing, and expense tracking. Registration events have built-in payment collection — families register and pay in one flow, no Venmo required. Expense and hour reporting gives the director a real financial picture of the club.

For Coaches

Coaches get access to their team's roster, a practice plan builder, the drill library, and the schedule. The practice plan builder is where it gets interesting — coaches can build time-blocked plans from scratch, linking drills directly from the library. Or they can use the AI generator.

The AI Feature

A coach inputs the team's age group, practice duration, and focus area — serve-receive, out-of-system offense, defensive positioning. The AI generates a complete time-blocked practice plan with drill descriptions, progressions, and timing. A plan that used to take 30 minutes now takes 30 seconds. Coaches can edit any slot, reorder segments, and save plans to reuse later.

For Players & Parents

Players can view their schedule, access the library, and see their practice plans. Parents get their own message channel with the coaching staff — separate from the players' channel, which matters more than it sounds. Coaches don't have to send the same message twice, and parents stop texting coaches' personal phones at 10pm.

Interactive court diagram for designing plays, drills, and rotations. Coaches can build and save formation templates for reuse.

Court Availability

View all facility courts, check availability, and submit reservation requests — no more back-and-forth emails with the gym.

Drill Library

A searchable database of drills with descriptions, progressions, and diagrams. Drills link directly into practice plans so coaches build plans from real content.

Schedule

Practices, tournaments, scrimmages — all in one calendar. Includes locations, divisions, and report times. Visible to all roles based on their team.

Teams & Rosters

Full roster management with coach assignments, position tracking, and parent linking. Directors can manage multiple teams from a single view.

People

Add players and parents, send invite links, assign roles, and manage access. Each person gets the right view the moment they sign in.

AI Practice Plans

Input team age, duration, and focus area — AI generates a complete time-blocked practice plan in under 30 seconds. Fully editable and saveable.

Staff Chat

A dedicated channel for all admins and coaches across the entire club. No more lost messages in personal group chats.

Team Messaging

Per-team message channels with separate threads for players + coaches and parents + coaches. The right message goes to the right people.

Registration Events

Create tryouts, clinics, and events with built-in payment collection, capacity limits, and registration tracking. Families register and pay in one flow.

Expense & Hour Reporting

Coaches log hours and expenses directly in the platform. Directors get a real financial picture of the club without chasing down receipts.

Stats & Scouting

Track player and team performance stats over time. Built-in scouting tools let coaches analyze opponents and prepare game plans before tournaments.

That last part — without overcomplicating it — is the part I'm most proud of. It would have been easy to build something bloated. The hard work was deciding what not to build.

VolleyCenter is a volleyball app, but the problem it solved isn't unique to volleyball. Almost every organization — regardless of industry — is running on a stack of disconnected tools that don't talk to each other. The information lives in five places, the communication happens in three different apps, and the person at the top is manually bridging the gaps.

The answer is rarely "add another tool." It's usually "replace the five with one that's built for how you actually work." That's what I do at Ramapp Solutions — whether it's a club management platform, a real estate content engine, or an autonomous trading system.
